The Sourcing Operations Analyst (SOA) position is part of the sourcing operations team within Quad's print management department. Sourcing operations is responsible for developing and maintaining general infrastructure including the processes, technology, data analytics, reporting, and supplier management that power the daily operations of the print management group.

The primary role of the SOA is to provide support to ensure the effective and efficient operations of Quad's print sourcing initiatives. While the actual sourcing and project management functions are the responsibility of defined categories within the print management categories, the SOA is focused on Quad’s general approach to print sourcing and drives the maintenance of systems / processes needed to sustain and evolve sourcing operations. The SOA will also support continuous improvement by monitoring feedback from suppliers and internal stakeholders and working collaboratively with management to update systems or processes to achieve best results.

The SOA is expected to possess strong technical data management skills and the ability to take direction from various department leaders. Experience with database management and developing structured data queries and reports is preferred.

The SOA has core responsibilities that include (but are not limited to) the following:

Sourcing data analysis:

  • Reporting / maintaining key performance indicators
  • Supplier onboarding
  • Ongoing management of supplier database in project management system 
  • Processing corrective action reports 
  • Systems support / subject matter expertise for suppliers and print specialists
  • Authoring and maintaining scope documents for system developments (with Manager)
  • Administrative support (billing, research, data entry) to support print specialists as needed

Job Expectations:
  • Execute supplier onboarding process and oversee supplier profile creation / maintenance
  • Maintain supplier status reports for internal review meetings 
  • Work with Manager on submission of corrective action requests (internal and external)
  • Attend print management category meetings to monitor status of infrastructure and work with Manager on opportunities for improvement
  • Work with Manager to develop and maintain department KPIs 
  • Facilitate scheduled and ad-hoc reports for analyzing print sourcing data 
  • Assist print management categories with data-intensive tasks that require skilled data administration
  • Support department technology and infrastructure needs
  • Author and maintain standard operating procedures as directed by Manager
  • Focus on the organization and management of data from various sources (i.e. project management system, supply chain, etc.). and execute various reporting needs.
  • Exhibit advanced knowledge of Microsoft Excel and experience using Excel to standardize / analyze third-party or user-produced data.
  • Support technology development and maintenance initiatives 
  • Multitask and prioritize tasks by urgency
  • Set goals and achieve them by a stated date/time
  • Take an analytical approach to problem solving
  • Develop quick and creative solutions for production issues
  • Act on his/her own initiative but take direction when needed
  • Maintain a respectful relationship with employees
  • Speak, read, and write in the English language
  • Perform other responsibilities as outlined by Manager

Job Requirements:
  • Understand how to work with, analyze, report and output various forms of data. 
  • Offer suggestions and solutions around data management and usage strategies for the fulfillment of department and client needs. 
  • Experience with Microsoft Access, Word, Excel, Outlook, and PowerPoint
  • Understanding and Proven Execution of Database Management, Query Writing, and Reporting
  • Experience with print project management software
  • Must perform their duties as assigned
  • Laser printing devices
  • Basic understanding of remote conductivity to communicate with headquarters
  • Effectively manage key milestones of production
  • Ensure quality samples are delivered by required date/time
  • Ensure tracking numbers are delivered by required date/time
  • Follow published Standard Operating Procedures for the Print Management Department

Education and Experience:
  • 2-4 year college degree or equivalent
  • Marketing, Advertising or Communications and/or Administrative Experience
  • Ability to speak, read and write in the English language
  • 2-3 years experience in print purchasing or equivalent experience
  • Strong knowledge of production processes for his/her category
  • Strong knowledge of print/paper/logistics industry practices
  • Understanding and Experience with Project Management Software Programs

System Skills Required:
  • Experience with Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience with print project management software
  • Laser printing devices
  • Basic understanding of remote conductivity to communicate with headquarters

Travel:
  • Travel as required by Management Team
  • Temporary assignments (out-of-town)
