Dental Practice Program Manager
ApplyQuadMed is looking for a Dental Practice Program Manager to oversee our growing dental line of service. This role will be onsite and must be willing to travel between the West Allis and Lomira, Wisconsin locations.
GENERAL PURPOSE OF JOB
The Dental Practice Program Manager is responsible for shaping, leading, and scaling QuadMed’s dental service line. Serving as both a strategic program designer and an operational leader, this role owns the vision, performance and day-to-day execution of the dental program. This role provides leadership for onsite dental practices and team members, including staff management, oversight of daily workflows, staffing/scheduling, and resource allocation. They refine and update systems and processes that enable high-quality, compliant, and patient-centered dental services. Strategic objectives are translated into actionable initiatives, leveraging data and technology to drive innovation and efficiency. Working closely with clinical teams, clients, and cross-functional partners, this role plays a critical part in advancing clinical outcomes, enhancing the patient experience, and positioning the dental program for sustainable growth and long-term success.
KEY RESPONSIBILITIES
- Owns the overall planning, strategic direction, and performance of the service line, aligning with organizational goals, employer client needs and industry best practices. Translates strategy into actionable initiatives, timelines, and measurable outcomes.
- Leads the design, development, implementation, and continuous improvement of dental program policies, procedures and operational best practices for the service line, ensuring it is scalable, sustainable and delivers best-in-class care. Identifies opportunities for optimizing technology solutions, including emerging AI-enabled tools, to improve workflows, efficiency, data insights, and patient experience.
- Oversees day-to-day operations of onsite dental practice(s), ensuring efficient workflows and high-quality patient care. Monitors productivity, scheduling, utilization, and capacity planning. Oversees dental equipment, supplies, vendor relationships, and inventory management.
- Manages dental staff with responsibilities for hiring, onboarding, performance management, employee engagement, and professional development. Foster a culture of patient-centered care, collaboration, accountability, and continuous improvement.
- Serves as the primary point of contact for clients related to dental services.
- Collaborates with internal partners cross-functionally to establish opportunities for improved clinical outcomes across the patient population.
- Manages the dental program budget, including labor, supplies, and equipment. Identifies opportunities to improve operational efficiency, reduce costs, and enhance the value of dental services for clients.
- Collects and analyzes program KPI data to develop clear, actionable reports and dashboards to inform strategic planning, operational improvements, and program growth decisions.
- Ensures compliance with federal, state, and local regulations governing dental practice operations, licensure, OSHA, HIPAA, infection control, and clinical documentation.
- Performs other duties as assigned or necessary to support the office/organization.
JOB REQUIREMENTS
Education:
- Bachelor’s degree in Healthcare Administration, Public Health, or related field.
- Additional education and/or certification in dental profession (e.g., Dental Hygiene, Dental Assisting, etc.) a plus.
Experience:
- Minimum five (5) years of experience in dental practice management, healthcare operations, or multisite healthcare management.
- Minimum three (3) years of formal people management experience, preferably in a dental, clinical or healthcare environment.
- Familiarity with dental practice management systems, EMRs, and scheduling/billing workflows.
Certificates, Licenses, Registrations:
- Current CPR (BLS) certification or must be obtained within 60 days of hire.
Knowledge, Skills & Abilities:
- Deep understanding of dental practice operations, workflows, and regulatory requirements, combined with healthcare strategy and service line management.
- Knowledge of emerging trends, technologies, and best practices in dental care delivery, with the ability to design systems and processes that scale effectively across multiple sites.
- Deep knowledge of quality improvement, patient experience standards, and healthcare compliance.
- Familiarity with population health principles.
- Excellent organizational, operational planning, and execution skills, paired with strategic thinking.
- Strong client-facing communication and presentation skills.
- Proficiency in healthcare IT systems, dental EMRs, and standard business applications including Microsoft Office, with the commitment to grow proficiency in the use of AI tools to drive innovation across operations.
- Knowledge of dental billing and insurance processes.
- Financial acumen related to budgeting, forecasting, and operational performance in healthcare settings.
- Data analysis and reporting skills, including KPI tracking and performance improvement, with the ability to use data to drive business decisions.
- Strong leadership, coaching, interpersonal, and team development skills, with the ability to lead through ambiguity and build structure for a growing program.
- Ability to champion continuous improvement by identifying issues, analyzing root cause, implementing effective solutions, and leading change management while maintaining operational stability.
- Proven ability to work effectively with diverse populations and a demonstrated commitment to fostering inclusion.
