GENERAL PURPOSE OF JOB
The Receptionist is the frontline ambassador for Quad’s West Allis showcase plant and In-Store headquarters—an innovation hub frequently visited by clients, senior leaders, and executives. This highly visible role creates exceptional first impressions and delivers a concierge-level experience that reflects Quad’s brand, culture, and commitment to excellence.
Serving as a central connection point for the site, the Receptionist supports a polished, professional environment by expertly managing communications, welcoming visitors, and ensuring smooth day-to-day operations in a high-profile, client-facing setting.
KEY RESPONSIBILITIES
Create an outstanding first impression by warmly welcoming and assisting visitors, guests, executives, and employees
Answer and manage a busy corporate main phone line, in coordination with receptionists at Quad’s Sussex and Pewaukee locations
Respond to inquiries in person and by phone, directing questions and requests to the appropriate individuals or departments
Sort, distribute, and prepare incoming and outgoing mail
Manage employee uniforms, including distribution, organization, and basic inventory tracking
Duplicate, organize, and distribute materials as needed
Compose, type, edit, and format correspondence, reports, memoranda, and other documents
Provide administrative and operational support as assigned, including assisting recruiters, coordinating site celebrations, and providing coverage when other areas of the business need support
QUALIFICATIONS
Previous experience in a receptionist, front desk, hospitality, administrative, or customer service role preferred
Strong interpersonal and communication skills with a polished, professional presence
Comfort interacting with clients, executives, and senior leaders
Excellent organizational skills and ability to manage multiple priorities
Proficiency with phone systems, office equipment, and basic computer applications
Dependable, detail-oriented, and service-focused
