General Purpose of Job

The Sustainability Specialist is responsible for coordinating sustainability reporting, data management and cross-functional stakeholder engagement for Quad’s Sustainability team.This role works across all of Quad’s business areas, managing meaningful projects for a global organization to helps drive Quad’s ongoing commitment to “Creating a Better Way” and our belief that corporate responsibility and business performance go hand in hand

Reporting to the Director of Sustainability Reporting, this role supports the planning, execution and continuous improvement of Quad’s companywide sustainability initiatives.This role will coordinate across business functions to prepare sustainability, environmental and compliance disclosures in response to client, government and third-party requests to ensure transparency, accountability and continuous improvement.

Key Responsibilities

  • Coordinate and manage sustainability projects from end-to-end, including planning, timeline development, milestone tracking, stakeholder coordination, and risk identification and resolution to ensure Quad provides accurate, quality and timely reporting, disclosures and other deliverables
  • Manage and continuously improve sustainability operations and processes by developing project trackers, data visualization, dashboards, meeting schedules and agendas, action items and follow ups, and documenting decisions
  • Coordinate and prepare disclosures, reports and responses to sustainability, environmental and compliance questions and requests from clients, ratings agencies (e.g., CDP, EcoVadis) and government agencies, in alignment with leading frameworks such as GRI, TCFD and SASB
  • Gather and analyze sustainability and operational data and metrics, ensuring accuracy, consistency and documentation of the data collection process.
  • Continuously improve data collection, reporting systems and processes, including tools, databases and standard work to ensure data integrity, accessibility and visibility
  • Contribute to the design, development and production of the annual corporate responsibility report and related internal and external communications, including drafting, editing and coordinating review by stakeholders
  • Partner with stakeholders in Sales, Marketing and business areas to keep them up-to-date on client requests and sustainability projects and to stay aware of the new developments in Quad’s sustainability-related solutions and innovation
  • Research evolving sustainability, environmental and compliance standards, regulations and industry best practices related to Quad’s marketing solutions and operations to inform strategy and reporting
  • Coordinate companywide sustainability events, such as Earth Month activities, and perform other duties as assigned to support the evolving needs of the Sustainability team 

Job Requirements

Education: Bachelor’s degree in Sustainability, Environmental Science, Business, Communications, Project Management or related field a plus.Appropriate education and/or experience may be substituted on an equivalent basis.

Experience: 

  • 1-3 years of relevant experience in sustainability reporting, data management and reporting, project coordination, communications, operations or a related field preferred
  • Experience supporting cross-functional projects, managing multiple deadlines and coordinating deliverables in a matrixed organization
  • Experience with project tracking tools, reporting systems, dashboards or process documentation preferred

Knowledge, Skills and Abilities

  • Strong project coordination, organizational and prioritization skills with the ability to manage multiple priorities, timelines, and deliverables with a high degree of accuracy
  • Familiarity with, or interest in learning about, leading disclosure and reporting frameworks (e.g., GRI, TCFD and SASB) and ratings agencies (e.g., CDP and EcoVadis) preferred
  • Proficiency in Microsoft Office Suite, especially Excel, Word and PowerPoint, with experience in using project tracking tools, reporting systems, dashboards, data visualization or workflow tools preferred
  • Strong analytical, research and problem-solving skills
  • Good written, verbal and interpersonal communication and presentation skills 
  • Ability to work independently as a self-starter as well collaboratively, adapting as needed in a fast-paced environment
  • Detail oriented with strong process documentation and data management skills
  • Ability to build productive working relationships and coordinate projects across business areas
  • Sound judgment, professionalism and discretion in handling sensitive and confidential business information
  • Familiarity with AI tools and technologies, with the ability to evaluate and apply them to improve work effectiveness, efficiency, analysis and knowledge sharing
